For Exhibitors:

RULES, REGULATIONS & AMENDMENTS:

Amendments and Additional Regulations: These rules and regulations constitute a bona fide part of the Contract for Exhibit Space rental. Show Management reserves the right to render all interpretations and decisions, should questions arise, and to establish further regulations as may be deemed necessary to the general success and wellbeing of the overall exhibit area. Show Management’s decisions and interpretations shall be accepted as final in all cases. Solely Show Management shall determine any issues not specifically covered by these regulations. Show Management shall add to and/or amend the rules provided such changes are reasonable in nature and consistent with the purposes of the rules. The noted Exhibitor Main Contact will be responsible for forwarding this information to the personnel who will set up and staff the exhibit.

  • No signs or articles are to be fastened to the walls, etc. using thumbtacks, tape, nails, screws, bolts, or any tools or materials that can mark the floor or walls.
  • Any tools, costs and equipment required for moving in and out of the Show shall be the Exhibitor’s sole responsibility.
  • Distribution of food or refreshments is not permitted in the Trade Show area other than by Show Management.
  • Exhibitors will have access to their table 60 minutes prior to the Trade Show opening. (Unless otherwise permitted or noted.)
  • Exhibitors shall not close, pack up, or remove displays until the conclusion of the Trade Show on DAY TWO.
  • Show Management reserves the right to refuse admission to the Show of any visitor, Exhibitor, Exhibitor’s employee, repre­sentative or guest, who, in their opinion, is or has been abusive, unprofessional, intoxi­cated, or in any way creating a disruption to this or previous Shows.
  • The right to exhibit is limited to companies that have contracted and paid in full for exhibit space(s) or outdoor space(s). Any false certification or misuse of name badges will result in the expulsion of the violator from the Show without obligation by Show Management to refund exhibit fees or honour claims for damages.
  • No Exhibitor shall, without the permission of Show Management, assign, sublet or apportion the whole or any part of the space allotted, or exhibit therein any goods other than those manufactured or handled by the Exhibitor in the regular course of his business, or take orders in the Exhibitor’s space for any such other goods, without the express permission from Show management.
  • Show Management reserves the right to prohibit the installation or alter the layout or enforce the removal of components of any exhibit, which in their opinion, does not meet the restrictions described in this contract, may be detrimental to the Show, interferes with neighbouring displays or safety of others.

SHIPPING & MATERIALS HANDLING POLICY

All shipping and materials handling services to be arranged through the CommTech Show’s provider, at the Exhibitor’s expense. Shipments will NOT be accepted directly at the Best Western Premier Calgary Plaza Hotel & Conference Centre without approval. TheBest Western Premier Calgary Plaza Hotel & Conference Centre does not have storage space or staff for unloading deliveries.

Information on materials handling rates and contact information will be provided to each Exhibitor’s established contact in advance of the show. The Show website Exhibitor Information Page will also provide information and forms available in February.

CANCELLATION POLICY:

Show Management must receive all cancellations in writing, and shall be notified of such by phone, in the event an Exhibitor finds it necessary to cancel its contract, reduce space or their delegate allotment. Postmarked Cancellations will be made as follows:
150 Days prior to the show – 75% Refund
120 Days prior to the show – 50% Refund
90 Days prior to the show – No Refund
Show Management has the right to utilize cancelled space in any manner they choose.

CHARACTER OF EXHIBITS:

Show Management strongly encourages displays with good signage, interactive displays and a large assortment of products to obtain optimal traffic.

CHANGES:

Show Management reserves the right to change Show dates, site, location, or to cancel, if the Show cannot be conducted for any reason beyond Show Management’s reasonable control, exercise of any such right to be on written notice to Exhibitors. Show Management reserves the right to make final space assignments or to change the space assignment should it be necessary in the best interest of the Show.

EXHIBITOR NETWORKING EVENTS:

Outside activities, events, workshops, etc. not sanctioned or provided by the Canadian CommTech Show during official Show hours, which would encourage attendance away from the Trade Show and Seminars, are prohibited.

LIABILITY INSURANCE:

Each Exhibitor must maintain in force, sufficient liability, theft and loss insurance. This insurance must include sufficient coverage for product liability, and all operations connected with the Show, and shall include 2217394 Ontario Inc. (o/a DazzleMe Productions and the Canadian CommTech Show & Seminars), as additionally insured.

PHOTOGRAPHY RELEASE:

Photographs and video recording will take place at various times during the event. By taking part in this event you grant 2217394 Ontario Inc., o/a DazzleMe Productions and the Canadian CommTech Show & Seminars full rights to use the images resulting from the photography/video filming, and any reproductions or adaptations of the images for fundraising, publicity or other purposes to help achieve the show’s aims. This might include (but is not limited to), the right to use them in their printed and online publicity, social media, press releases and funding applications. If you do not wish to be photographed please inform an event organizer or the photographer.

LEGAL RESPONSIBILITY:

2217394 Ontario Inc., throughout and otherwise known as the Canadian CommTech Show & Seminars; the Show; CommTech; CommTech West; and/or DazzleMe Productions; their employees or contractors, shall not be liable to any Exhibitor, its agents, employees, contractors, patrons, guests, licensees, or to any other person whosoever, for any injury or damage to person or property caused by or arising out of any act, omission or neglect of Exhibitors, its agents, contractors, employees, patrons, guests, licensees or invitees, or any person entering the buildings known as the Best Western Premier Calgary Plaza Hotel & Conference Centre under expressed or implied invitation by Exhibitors, CommTech, or for any other damages arising out of use of either the contracted exhibitor space of the building in which the tabletop or booth space is located. The Exhibitor assumes the entire responsibility and liability for losses, damages and claims deriving out of injury, loss or damage to Exhibitor’s displays, equipment and other property brought upon the premises of the Best Western Premier Calgary Plaza Hotel & Conference Centre and shall indemnify and hold harmless 2217394 Ontario Inc., their agents, staff, and employees from any such losses, damages and claims. The Exhibitor acknowledges that 2217394 Ontario Inc. does not maintain insurance covering such losses by the Exhibitor. Exhibitors will be liable for any damage caused to floors (including carpets), walls, or columns, or to standard display equipment, or to other Exhibitor’s property. The insurance certificate must be made available upon request.

PRIVACY POLICY:

Business contact information provided on your registration form is only shared with registered exhibitors and sponsors of the Canadian CommTech Show, and is not sold, supplied or leased to outside parties.

For Attendees:

PAYMENT INFORMATION:

For your convenience, we offer the option of VISA, MasterCard, AMEX, Company Cheque, Wire Transfer, E-transfer, or PayPal, payable in Canadian funds.

COMMTECH PASSPORT EVENT PROGRAM:

Attendees are invited to visit exhibitor booths to receive a stamp on their CommTech passport page at the back of the event program. Passport pages with at least 20 stamps can enter for a chance to win one of several prizes donated by Sponsors.

Passport draws will be made at the end of the day, on the last afternoon of the show in the Trade Show.

BADGES:

Attendees can pick up their badges, event program and lunch tickets at the registration desk upon arrival inside the main entrance at the show. Badges must be visible at all times and are required for admittance to seminars and exhibition halls. Transferring or sharing of badges is not permitted.

Attendees with Show Floor passes are not permitted to attend seminars.

FOOD & BEVERAGE:

Lunch & Reception tickets are included in full 1 & 2 day passes.

Lunch & Reception tickets are not included with Student, Complimentary or Floor Passes.  There are no restaurant services on premises.

Lunch tickets can be purchased separately. Beverage tickets can be purchased at the Welcome Reception.

CONDUCT:

Show Management reserves the right to refuse admission to anyone who, in their opinion is, or has been abusive, unprofessional, intoxicated, in violation of the rules and regulations at this or previous shows, or in any way creating a disruption to this show or previous CommTech shows.

NO SOLICITATION POLICY:

Solicitation by Vendors not registered as Exhibitors or Exhibitor Delegates, is not permitted on the Trade Show floor.

REGISTRATION CANCELLATION POLICY:

Cancellations will only be accepted in writing. Refunds will be issued, less an administration fee of 50%, for all cancellations post-marked at least sixty (60) days before the show after which no refunds will be issued. Substitutions from the same company will be accepted in writing up to seven (7) days before the show. Registrations may not be shared. Show Management reserves the right to cancel CommTech West if there are insufficient sales of Registrations, or for reasons beyond the control of 2217394 Ontario Inc., o/a DazzleMe Productions and the Canadian CommTech Show & Seminars, a.k.a. CommTech West.

The Attendee, Attending Company and its associates and guests shall indemnify and hold harmless 2217394 Ontario Inc., o/a DazzleMe Productions, the Canadian CommTech Show & Seminars, a.k.a. CommTech East, the Mississauga Convention Centre, their agents, servants, employees and contractors, from and against any and all loss and damage, and all actions, claims, costs, demands, expenses, fines, liabilities, and suits of any nature whatsoever for which the above named shall or may become liable, or suffer by reason of, arising out of this Agreement or the attendance, use or occupation of the Canadian CommTech Show & Seminars premises by the Attendee, Attending Company, or any of its agents, concessionaires, contractors, customers, employees, invitees, or licensees.
