RULES, AMENDMENTS & REGULATIONS

Amendments and Additional Regulations: These rules and regulations constitute a bona fide part of the Contract for Exhibit Space rental. Show Management reserves the right to render all interpretations and decisions, should questions arise, and to establish further regulations as may be deemed necessary to the general success and wellbeing of the overall exhibit area. Show Management’s decisions and interpretations shall be accepted as final in all cases. Solely Show Management shall determine any issues not specifically covered by these regulations. Show Management shall add to and/or amend the rules provided such changes are reasonable in nature and consistent with the purposes of the rules. The noted Exhibitor Main Contact will be responsible for forwarding this information to the personnel who will set up and staff the exhibit.

  • Show Management reserves the right to refuse admission to the Show of any visitor, Exhibitor, Exhibitor’s employee, repre­sentative or guest, who, in their opinion, is or has been abusive, unprofessional, intoxi­cated, or in any way creating a disruption to this or previous Shows.

CANCELLATION POLICY:

Show Management must receive all cancellations in writing, and shall be notified of such by phone, in the event an Exhibitor finds it necessary to cancel its contract, reduce space, or delegate allotment. Postmarked Cancellations will be made as follows:
150 Days prior to the show – 75% Refund
120 Days prior to the show – 50% Refund
90 Days prior to the show – No Refund

Show Management reserves the right to change Show dates, site, location, style, whether it be virtual or in-person, or to cancel, if the Show cannot be conducted for any reason beyond Show Management’s reasonable control, the exercise of any such right to be on written notice to Exhibitors. Show Management reserves the right to make final space location assignments or to change the space assignment should it be necessary, or utilize any cancelled space as deemed in the best interest of the Show.

CHARACTER OF EXHIBITS:

Show Management strongly encourages displays with good signage, interactive displays, and a large assortment of products to obtain optimal traffic.

EXHIBITOR NETWORKING EVENTS:

Outside activities, events, workshops, etc. not sanctioned or provided by the Canadian CommTech Show during official Show hours, which would encourage attendance away from the Trade Show and Seminars, are prohibited.

PHOTOGRAPHY RELEASE:

Photographs and video recording will take place at various times during the event. By taking part in this event you grant 2217394 Ontario Inc., o/a DazzleMe Productions and the Canadian CommTech Show & Seminars full rights to use the images resulting from the photography/video filming, and any reproductions or adaptations of the images for fundraising, publicity or other purposes to help achieve the show’s aims. This might include (but is not limited to), the right to use them in their printed and online publicity, social media, press releases and funding applications. If you do not wish to be photographed please inform an event organizer or the photographer.

LIABILITY INSURANCE:

Each Exhibitor must maintain in force, sufficient liability, theft and loss insurance. This insurance must include sufficient coverage for product liability, and all operations connected with the Show, and shall include 2217394 Ontario Inc. (o/a DazzleMe Productions and the Canadian CommTech Show & Seminars), as additionally insured.

NO SOLICITATION POLICY:

Solicitation by parties not registered as Exhibitors or Exhibitor Delegates, is not permitted in the Virtual Event.

LEGAL RESPONSIBILITY:

2217394 Ontario Inc. throughout and otherwise known as the Canadian CommTech Show & Seminars, CommTech; and/or Dazzleme Productions; their employees or contractors shall not be liable to any exhibitor, its agents, employees, contractors, patrons, guests licensees, or to any other person whosever for any injury, or damage to person or property caused by or arising out of any act, omission or neglect of exhibitors, its agents, contractors, employees, patrons, guests licensees or invitees, or any person entering the virtual platform. The code of conduct is expected to exercise consideration and respect in both speech and actions. Attempt collaboration before conflict. Refrain from demeaning, discriminatory, or harassing behaviour and speech. During the Virtual Event or any of its related events, no participant should engage in harassment in any form. Do not disrupt the Virtual Event or engage in harm or threats of harm of any kind. Do not create/contribute to a safety threat or unsafe or exclusionary situation. Do not make audio or visual recordings of the Virtual Event in any medium, and do not distribute audio or visual recordings of the Virtual Event (via social media or any other means); only 2217394 Ontario Inc. employees or its representatives may do so, after informing participants to give them an opportunity to opt-out. Do not take or distribute pictures of or copy research posters/presentation materials unless explicit permission is granted. Participants violating these rules may be expelled from the event without a refund at the discretion of 2217394 Ontario Inc. Participants asked to stop any harassing behavior are expected to comply immediately. The InEvent App and sites are provided as a service of 2217394 Ontario Inc. and their supplier, SW-Online. 2217394 Ontario Inc. and SW-Online are not responsible for the opinions and information posted on these sites by parties. 2217394 Ontario Inc. and SW-Online, disclaim all warranties with regard to information posted on these sites, whether posted by SW-Online or any third party; this disclaimer includes all implied warranties of merchantability and fitness.

In no event shall either party be liable for any lost revenue, lost profits, indirect, special, incidental, consequential, or punitive damages, howsoever caused and under any theory of liability, whether in contract, tort (including negligence and strict liability) or otherwise, arising out of this agreement, even if advised of the possibility of such damages, and notwithstanding any failure of purpose of any limited remedy. Both party’s total aggregate liability hereunder shall not exceed the aggregate fees paid by either party under this agreement with the exception of the noted Cancellation Policy herein.

PRIVACY POLICY:

Business contact information provided on your registration form(s) is only shared with registered Exhibitors, Speakers and Sponsors of the Canadian CommTech Show, and is not sold, supplied, or leased to outside parties. Any party may opt-out of contact information sharing by written notice to 2217394 Ontario Inc.

For Attendees:

PAYMENT INFORMATION:

For your convenience, we offer the option of VISA, MasterCard, AMEX, Company Cheque, Wire Transfer, E-transfer (Canada), or PayPal, payable in Canadian funds.

COMMTECH PASSPORT EVENT PROGRAM:

Attendees are invited to visit exhibitor booths to receive a stamp on their CommTech passport page at the back of the event program. Passport pages with at least 20 stamps can enter for a chance to win one of several prizes donated by Sponsors.

CONDUCT:

Show Management reserves the right to refuse admission to anyone who, in their opinion is, or has been abusive, unprofessional, intoxicated, in violation of the rules and regulations at this or previous shows, or in any way creating a disruption to this show or previous CommTech shows.

REGISTRATION CANCELLATION POLICY:

Cancellations will only be accepted in writing. Refunds will be issued, less an administration fee of 50%, for all cancellations post-marked at least sixty (60) days before the show after which no refunds will be issued. Substitutions from the same company will be accepted in writing or by confirmed email, seven (7) days before the Show. Show Management reserves the right to cancel CommTech East if there are insufficient sales of Registrations, or for reasons beyond the control of 2217394 Ontario Inc., o/a DazzleMe Productions and the Canadian CommTech Show & Seminars, a.k.a. CommTech East.

The Attendee, Attending Company and its associates and guests shall indemnify and hold harmless 2217394 Ontario Inc., o/a DazzleMe Productions, the Canadian CommTech Show & Seminars, a.k.a. CommTech East, their agents, servants, employees and contractors, from and against any and all loss and damage, and all actions, claims, costs, demands, expenses, fines, liabilities, and suits of any nature whatsoever for which the above named shall or may become liable, or suffer by reason of, arising out of this Agreement or the attendance, use or occupation of the Canadian CommTech Show & Seminars premises by the Attendee, Attending Company, or any of its agents, concessionaires, contractors, customers, employees, invitees, or licensees.
